5 tasks your team shouldn't be doing by hand in 2026 (and how to automate them with AI)

Some tasks keep eating up hours in almost every SME, even though technology already exists to do them automatically. These are the five that give back the most time.

Five office tasks (invoice, order, chat, report and calendar) sorting themselves out on an automatic conveyor belt

Knowing which processes to automate in a company is the first decision for saving time with artificial intelligence. We've reviewed the tasks that come up most often in the SMEs we work with, and these five appear almost every time. All of them can be automated with AI by connecting the tools you already use.

1. Recording and classifying invoices

The problem: every morning someone downloads invoices from their email, checks them, copies the data into the accounting software and files them.

The automation: a system reads invoices as soon as they arrive, extracts the amount, supplier, dates and taxes, validates the data and records it in your accounting software. If something doesn't add up, it raises an alert.

Typical impact: up to 70% less manual work in administration.

2. Updating orders and stock

The problem: orders noted down in several spreadsheets, stock that doesn't match reality, and restocking alerts that arrive too late.

The automation: the ERP, the warehouse and the online shop sync automatically. Each order updates stock and, once it hits a minimum, an alert or a supplier order is generated.

Typical impact: up to 18 weekly hours recovered in operations.

3. Answering frequent customer queries

The problem: the same questions come in every day via WhatsApp, email and the website: opening hours, prices, order status, availability.

The automation: an AI agent instantly answers frequent queries, checks real data (for example, an order's status) and only hands over to a person what truly needs human attention. WhatsApp customer service automation is one of the first improvements people notice.

Typical impact: more than 2 hours saved daily and responses within minutes.

4. Handling sales follow-up

The problem: contacts coming in through the website get registered late, quotes nobody chases up, and opportunities that go cold.

The automation: each contact is logged in the CRM instantly, qualified according to your criteria and entered into a follow-up sequence. The sales team only steps in once the opportunity is hot.

Typical impact: zero unregistered opportunities and conversion improvements of around 12%.

5. Preparing reports for management

The problem: every week someone spends hours gathering sales, cost and operations data from different tools to put together a report that's already out of date by the time it arrives.

The automation: a dashboard connected to all data sources shows real-time figures, and a report is sent automatically every week. If something deviates, an alert is triggered.

Typical impact: decisions made with up-to-date data and zero hours spent building reports.

Which one to start with?

Start with the task that consumes the most hours and affects your customers the most. The ideal approach is to begin with one or two processes, measure the real savings and expand from there. Before automating, make sure the process is well defined: we explain why in why automating a messy process is expensive.

If you want to know which of these tasks have the most impact in your case, we'll analyse it with you in a free assessment. You can also see success stories in each of these areas.

Frequently asked questions

Those that happen often and follow clear rules: invoicing, orders and stock, customer service, sales follow-up, appointment management and reports.

No. Automation connects with the tools the company already uses: ERP, CRM, email, WhatsApp or spreadsheets.

It depends on volume, but it's common to recover anywhere from several hours a week to two hours a day per automated process.
